Boat maintenance history & service record tracking

Every oil change, part and receipt kept against the boat instead of a shoebox — logged in under thirty seconds, one hand on the rail.

Thirty seconds, start to finish

The reason people stop keeping records is that keeping them is a chore. Three taps, and it's done properly.

  1. Logging a 100-hour outboard service in VesselFile, with both engines selected and a ten-point checklist
    01

    Pick the service

Choose a preset and the checklist comes with it. Two engines? Tick both — it logs as one entry with per-engine hours.

  2. A completed VesselFile logbook entry showing all ten checklist items done and per-engine hours
    02

    It goes on the record

Hours, date, who did the work, every item ticked, photos and receipts attached — kept against the boat, not in a shoebox.

  3. A VesselFile reminder that repeats every 180 days, with options to complete, postpone or skip
    03

    The next one is scheduled

Reminders repeat by date or by engine hours. Postpone one, skip it, or mark it done from the notification.

One place

Everything your vessel needs

Nine things that otherwise live in nine different places — a drawer, a glovebox, three apps and someone's memory.

Logbook

Every oil change, impeller swap and overhaul — what was done, when, and which parts went in.

Equipment

A running history of pumps, plotters, batteries and chargers as they're installed, serviced or replaced.

Documents

Manuals, warranties, receipts, registration and survey reports, filed where you'll actually find them.

Contacts

The mechanic, the marina, the dealer and the crew — attached to the jobs they did.

Readings

Engine hours, voltages and fuel burn over time, entered by hand or carried across from a service entry.

Inventory

Consumables and spares with reorder thresholds, so you find out before you're out.

Checklists

Pre-departure and seasonal lists per vessel, ticked off item by item.

Reminders

By date or by engine hours — including “every 100 hours or every year, whichever comes first”.

Sharing

Give a partner or captain viewer or editor access. Invites claim themselves on sign-up.

When you sell

The records outlive the boat

A documented history is worth real money at survey, and most sellers can only produce a folder of faded receipts. Hand the whole file to the buyer by email — they accept from a link, and it becomes theirs.

Keep view-only access to everything up to the handover. Costs are redacted by default, because what you paid your mechanic is not the buyer's business.

And if you ever stop paying, your records stay readable and exportable. We don't hold your boat's history hostage.

About the author

From a boat owner, for boat owners

Hi, I’m Jeremy Williams. I live on the Gulf Coast of central Florida, where I work in technology by day and spend most decent weekends on the water.

VesselFile started as a personal frustration. I was tracking annual service across a spreadsheet, a notes app and a whiteboard in the garage — and every time I actually needed a record, whether it was a warranty claim, a question from a mechanic, or a buyer asking what had been done, I was digging through a file cabinet hoping I’d kept the paper.

So I built the thing I wanted: one place that holds the whole history of the boat, that takes thirty seconds to add to while I’m still standing on the dock, and that goes with the boat when I sell it.

If you’re on a paid plan — thank you. Running this has real costs, and I keep the price deliberately low so as many owners as possible can use it. That only works because supporters chip in.
